Immiquest Immigration Consulting Inc. ("we," "us," or "our") is committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use portal.immiquest.ca (the "Portal").

We collect the following categories of personal information:

• Identity information: Full name, date of birth, country of birth, citizenship, marital status
• Contact information: Email address, phone number, mailing address
• Travel documents: Passport numbers, expiry dates, visa history, travel history
• Immigration history: Previous applications, refusals, status in Canada
• Family information: Spouse and dependent details where relevant to your case
• Education and employment: Work history, education credentials, language test results
• Uploaded documents: Passports, transcripts, employment letters, and other supporting documents you upload
• Account data: Login credentials (passwords are stored hashed and never readable), login timestamps
• Usage data: IP address, browser type, pages visited, session duration

We use your personal information to:

• Provide immigration consulting services under your retainer agreement
• Prepare and submit immigration applications to IRCC and other government bodies
• Communicate with you about your case status, deadlines, and document requirements
• Generate and process legal agreements and e-signatures
• Comply with our legal and regulatory obligations as a licensed RCIC practice
• Improve the Portal's functionality and security

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

We may share your information with:

• Government agencies: IRCC, CBSA, provincial nominee programs, and other bodies as required to process your application
• Service providers: Cloud infrastructure (Vercel, Neon), document storage (Cloudinary), email delivery — all under data processing agreements
• Legal requirements: Where required by law, court order, or regulatory obligation

All third-party service providers are contractually required to protect your data and use it only for the purposes we specify.

We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy and to comply with our regulatory obligations as an RCIC practice (typically 6 years after the close of your file, as required by the College of Immigration and Citizenship Consultants).

You may request earlier deletion of your account data where not prohibited by law — see Section 8.

We implement industry-standard security measures including:

• TLS/HTTPS encryption for all data in transit
• Encrypted passwords (bcrypt hashing — never stored in plaintext)
• Role-based access control — staff only see data relevant to their assigned clients
• Audit logs for all access and changes to case data
• Secure cloud infrastructure with automated backups

No system is completely secure. If you suspect a breach, contact us immediately at info@immiquest.ca.

The Portal uses session cookies required for authentication. We do not use advertising cookies or third-party tracking pixels. Usage analytics, if any, are anonymized and aggregate only.

Under PIPEDA, you have the right to:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of inaccurate information
• Withdrawal of consent: Withdraw consent to non-essential uses (note: this may affect our ability to provide services)
• Deletion: Request deletion of your account data where not required for legal compliance

To exercise any of these rights, contact our Privacy Officer at info@immiquest.ca. We will respond within 30 days.

The Portal is not intended for individuals under 18. We do not knowingly collect personal information from minors. If you believe a minor has registered, please contact us immediately.

We may update this Privacy Policy periodically. We will notify you of material changes by email and by updating the effective date above. Continued use of the Portal after notice constitutes acceptance.
